Set Up a WhatsApp Auto Responder Using Keywords
Create and test keyword-based WhatsApp replies with a connected device, plain text or templates, and whole or similar word matching.
Watch the workflow guide: Keyword auto replies workflow guide (about one minute).
What the auto responder can do
WASender can send a saved reply when an incoming message matches a keyword rule. This can help answer repeat questions about opening hours, prices or how to contact your team. It is a keyword-based workflow; do not assume that it understands every question like a conversational AI assistant.
First, check your plan for auto responder availability and connect the device that will receive the questions.
1. Decide which question to answer
Start with one clear keyword, such as hours. Write a reply that answers that question directly and gives a human contact option for anything else. Avoid overlapping rules while you learn how matching behaves.
For example, an hours reply should state your real opening hours and business name. Do not publish invented service promises or use a generic reply that leaves customers unsure who is speaking.
2. Open Create a reply
In the chatbot or auto responder area, choose Create a reply. Enter the keyword, select the connected device and choose the reply type. Each rule is associated with a device, so check the selected number before saving.
3. Choose plain text or a template
For Plain Text, write the response in the Reply field, which supports up to 1,000 characters. For Template, select an existing saved template. Keep the first rule simple so it is easy to test.
The message examples can help you draft a greeting or support reply, but you must replace the placeholders and adapt the wording to your actual business.
4. Select the keyword match type
The form offers Whole Words and Similar Words. Start with the more specific option, then test messages that should match and messages that should not. Broader matching can trigger a reply in an unexpected context.
Test both a message containing only your keyword and a longer sentence containing it. Also test capitalization, extra spaces and a related phrase. Observe the actual results rather than assuming all variations match.
5. Save and test from another number
Select Create Now, then review the saved rule in the list. The list shows the keyword, device, reply type and match type. Send test questions from a separate number you control and check that the correct response arrives.
Do not use customers as your first test group. If a rule gives an unexpected reply, edit the keyword, match type or response and test again. Keep a simple record of which phrases you tested before adding more rules.
Keep a human route available
Keyword replies are best for narrow, repeatable answers. Include a clear way to request help from your team and periodically review whether prices, hours and links are still accurate. Avoid asking people to send sensitive information in an automated exchange.
Troubleshooting
If there is no reply, check the connected device, rule device selection, keyword and match type, subscription access and message logs. If an unrelated message triggers a reply, make the keyword more specific and review overlapping rules.
